# Sync your board with Google Calendar

## Sync your board with Google Calendar

Alongside embedding a calendar, the app can keep a board and a Google Calendar in step — in both directions. Items with a date become calendar events, and changes made in Google come back to the board.

The two halves are independent. Embedding never asks for account access; the sync does, and you can turn it off at any time.

### Before you start

* A **date** or **timeline** column on the board. Items without a value there are never synced.
* A Google account with a calendar you can edit. Read-only calendars — holidays, someone else's shared calendar — can be embedded but not synced.
* Permission to add views to the board.

### 1. Add the sync view

On your board, open the views menu (**+** next to the board tabs) → **Apps** → **Google Calendar Sync**.

This is a separate view from the calendar embedder, so adding it changes nothing about any calendar you already embedded.

### 2. Connect your accounts

Two grants are needed, once per person:

| **Authorize**      | Letting the sync keep running in the background, not only while the board is open |

The Google consent screen lists exactly what the app asks for: view and edit events. It never asks for your mail, contacts or files.

### 3. Pick a calendar and the rules

Choose the calendar at the top, then tick the rules you want. Each one is independent:

| Rule                                     | What happens                           |

| When an item is created in the board     | A linked event appears in the calendar |
| When item column values change           | The linked event is updated            |
| When an event is created in the calendar | A linked item appears on the board     |
| When event fields change                 | The linked item is updated             |

Untick a rule and that direction simply stops — nothing else changes.

#### Create events only when work is ready

Tick **Create the event only when a status column reaches a value** and pick the column and the value. While this is on, it replaces the first rule: an item gets its event at the moment it reaches that status, not when it is created.

Useful when a board holds drafts and plans that should not clutter a calendar until they are confirmed.

### 4. Map your columns

The app suggests a mapping from your column types when you first open the panel; change anything that does not fit.

### 5. Limit what gets synced

* **Only these groups** — leave empty to sync every group.
* **Status column** — which column the status filter and the status rule read.
* **Only these statuses** — leave empty to sync regardless of status.

If an item stops matching a filter, its event is removed from the calendar. The item itself stays on the board.

### 6. Behaviour

* **New items go to** — the group that receives items created from calendar events.
* **When an event is deleted in Google** — archive the item, delete it, or clear its date and keep it.
* **Default duration** — used when an item has a start time but no end.

Press **Start syncing**. The first run pulls the calendar into the board; after that, changes flow as they happen.

### Several calendars on one board

Press **Add another calendar** to set up a second sync on the same board — its own calendar, rules, mapping and filters. Click any entry under **Active syncs** to edit it, **Sync now** to force a full pass, or **Stop** to end it.

### How the sync runs

* Changes are picked up within seconds, in both directions.
* A full pass runs nightly and repairs anything missed while a service was unavailable.
* Events the app creates carry a hidden link to their item, so the two sides never duplicate each other.
* **Recurring events** are synced as a single item for the whole series; individual occurrences are not separate items.

### Disconnecting

Press **Disconnect** next to the connected address. This revokes the app's access at Google, stops every sync on the board and deletes the stored tokens.

Events already created stay in your calendar, and items already on the board stay there — disconnecting stops the sync, it does not undo it.

### Troubleshooting

**Nothing happens when I create an item.** Check that the item has a value in the mapped date column, that it passes the group and status filters, and — if the status rule is on — that it has reached the chosen status.

**An event is a few hours off.** The event follows the time zone of the calendar you picked. Check it in Google Calendar settings.

**A calendar is missing from the list.** Calendars you cannot edit appear greyed out and marked read-only: Google does not allow writing to them. Create your own calendar, or ask its owner for edit access.

**A change in Google did not reach the board.** Confirm the rule for that direction is ticked, then press **Sync now**.
